Problem Statement
The biggest challenge was finding product–market fit and onboarding users in the NDIS and aged care sector, where most providers were already locked into many care management softwares. On top of that, the existing tech was lagging, time-consuming, and heavily dependent on manual processes, leaving both CEO and mangement frustrated.
Solution
We tackled this by leveraging AI-driven features that replaced inefficiency with speed and accuracy. Within a year, we rolled out:
Financial Health: Users could upload financial statements and get insights within minutes, eliminating the need for huge spreadsheets and manual calculations.
AI-Powered Incident Reporting: Automated highlighting and categorization of incidents, reducing reporting errors and admin workload.
Smart Onboarding: Seamless, AI-assisted onboarding for care workers, cutting manual steps and saving significant time.
AI-Enhanced Rostering: Smarter scheduling that matched the right care workers to patients efficiently, minimizing conflicts and improving service delivery.

Result
Within the first year, we onboarded 400+ users, with 100+ active users showing strong retention and repeat usage. While the product still requires further refinement, these numbers validated demand in the NDIS and aged care sector.
On the custom software side, we secured 3 enterprise clients, delivering solutions such as AI-generated Progress Notes and AI-enabled Care Management Systems. These projects not only proved the scalability of our AI-driven approach but also positioned us as a trusted partner for providers looking to modernize outdated workflows.
Takeaway
AI is powerful, but context is king: Features like AI progress notes and reporting only worked when tied directly to real workflows.
Build for scale early: Designing systems for growth prevented bottlenecks as more users and agencies came onboard.
